Instructions for Entering ACPs Online

  1. Open the Southern Baptist Directory Services (SBDS) website
  2. Log-in with Church User ID and Password
  3. Enter ACP Data
    • Enter Congregational Information – change CHURCH info – address, phone, email, fax, etc.
    • Enter [current reporting period] ACP Survey – Enter statistics for current year – use same 12-month period each year.
  4. Enter Leadership Information
    Names and addresses of church leadership
    • Last entered information will appear on screen
    • Edit – change contact info for a person with the same role (e.g., address or phone number change)
    • Delete – delete the role altogether (e.g., the church no longer has a youth minister)
    • Replace – replace the listed person with a new person with the same role (e.g. Susan Brown is no longer treasurer – use “replace” to change to current person)
    • SBDS has a de-duplicating process to eliminate duplication of people and churches.  Each time "ADD" is selected, the system will check for duplicates.  Check any matches carefully to make sure you aren’t adding someone who is already in the database.
    • To "ADD" a new leadership role that is not listed, or if you have duplicate leadership: In the yellow box at the top of the screen, use “Select a Leader Relationship Type" to "ADD”.  Click on the appropriate title and continue.
  5. Print Current Information (PDF file)
    Print the current year’s survey and customized leadership sheets

    Check all information for accuracy since this data will be used to update the VBMB database and Annual.
  6. Browse SBDS
    • Must click on user agreement each time
    • Search for church: Can view leadership info, survey info and time series analysis
    • Search for association: Can view leadership info for association and list of churches
    • Search for people: Can browse Virginia, other states, or entire SBD
  7. Perform Time Series Analysis
    • Select the church you wish you view
    • Click on "Surveys"
    • Select “Time Series Analysis”
    • Choose the items you wish to compare
    • Choose the format you wish to view: "Screen", "PDF" (20 years only), or "Download to Excel"
    • Click "Generate Report"
    • Data from 1980 to last reported year will be available

5 Simple Steps to Creating a Summary Report From SBDS for Associations

  1. Under your association, click on “Surveys”.
  2. Beside “Historical Responses” choose the appropriate reporting year.
  3. Check the boxes of the items you wish to include.  (Be aware that the more boxes you check, the longer your report will take to download.  Reports for associations with more affiliated churches will take longer to generate.)
  4. Click “Download” as your viewing option, then click “Generate Report”.  This will automatically begin the process of downloading the data into Microsoft Excel.  When prompted, click “Open” to open the file into a new Excel window.
  5. Save your file and customize your spreadsheet.

    Your file will automatically be assigned a ".csv" file name (such as rptFileSurveySummary[1].csv).  Rename the spreadsheet in Excel format and save in a location you will remember.

Instructions for Downloading ACP Info into Excel

  • Go to "Surveys", click on "Historical Responses", and click on "2007".
  • Scroll down to bottom of the screen until you see a “Check All" box.
  • Click this to download all ACP information.
  • Next, click on the "Download Circle" (above "Check All" box), and then click on "Submit Report".
  • Navigate to the red "R" in the top right-hand corner of your screen.
  • Look for your name and the corresponding report.
  • Select “Click Here for Report”.
  • Next you MUST click on "Save" and save it to wherever you like. It will save as a ".csv" (Comma Separated Values) file which can then be opened by Microsoft Excel. 

Instructions for a Church to Print Individual ACP Surveys

Go to "Surveys", select "Print Packet", and then click on "Current Information", which includes all information entered.  Next, click on "Generate Packet". 

It should now generate the report in PDF format and you can go to the "File" menu and "Print" to print out the completed ACP.

Please note that when using a dial-up Internet connection, this may take 5-10 minutes.  You need to have Adobe Acrobat Reader installed to access and/or read these reports. If your computer does not have Acrobat Reader installed, it can be downloaded on the Adobe website

Troubleshooting: 
If the report does NOT generate and appear on your screen, please check to see if you have any pop-up blockers activated.  These must be turned off to generate your ACP reports.  Pop-up blockers can usually be turned off on the Internet browser window by going to the "Tools" menu, selecting "Pop-up Blocker", then click on "Turn Off Pop-Up Blocker". 

Please note, your computer may have more than one pop-up blocker.  Some Internet Explorer add-ons can also have an additional pop-up blocker. To disable all add-ons temporarily to print out an ACP report, go to the "Tools" menu in your Internet Explorer window, select "Manage Add-Ons", click each item and check "Disable". Close out of all Internet Explorer browser windows, including the SBDS website, and log back in to try again.
